This position reports to the Vice President, Head of Security and Facilities, and is responsible for business readiness, lease management and ongoing multi-project renovations for the Bermuda office.
Your responsibilities will include:
- Participating and proactively engaging in business preparedness meetings and working groups at the Group and jurisdiction level.
- Executing on assigned tasks, as it relates to Butterfield’s readiness plan.
- Assisting with the design and implementation of relevant protocols and procedures.
- Assisting with the implementation of protocols for renovation projects where necessary.
- Assisting with managing all leases, meeting with tenants weekly and logging, reporting and addressing all tenants’ concerns and requests.
- Reacting swiftly and calmly to a crisis, implementing appropriate assessments and responses.
- Coordinating with the Marketing department on all facilities related signage inclusive of renovation notices as necessary.
- Proactively measuring and reporting quarterly on the satisfaction of customers both quantitatively and qualitatively.
- Monitoring and supervising preparedness and response activities, evaluating progress through outputs and impacts.
- Working closely with the facilities manager and vendors to ensure stock, purchase requests, cash forecasts and movement requests are submitted, and assisting with billing processing.
- Ensuring compliance of Butterfield’s facilities with relevant legislation. Minuting the Health & Safety Committee meetings and maintaining the Health & Safety website regularly.
- Maintaining and monitoring project plans, project schedules, work hours, budgets and expenditures.
- Monitoring, tracking and processing all tenant billing providing invoices and statements monthly as necessary and assisting with updating the Master Lease Schedule monthly.
- Organising, attending and participating in stakeholder meetings.
- Anticipating project changes.
- Providing administrative support as needed, inclusive of maintaining and updating the art inventory.
- Chairing and facilitating meetings where appropriate and distributing minutes to all project team members.
Your qualifications and skills include:
- A university degree in an associated field, along with a minimum of eight (8) years of experience
- Technical certifications, such as Microsoft MCTIP/MCE, VMware VCP, Citrix or Cisco would be advantageous
- A proven track record of delivering results and leading technical projects in a similar technical role
- Bachelor degree in business or related field of study with at least seven years’ relevant experience in corporate facility and workplace safety.
- Thorough understanding of the local Safety and Health legislation and the Bank’s policies, procedures and practices
- Strong ability to develop and implement preparedness programmes and response strategies.
- Excellent management, communication (verbal & written), mediation and consulting skills
- Excellent analytical and problem-solving skills
- Ability to multi-task, prioritise and act as part of a team or independently
- Proficiency in Microsoft Suite of applications
- Must be on call for after-hours support calls.
- Proficient with files management, transcription, and other administrative procedures.
- Ability to work on tight deadlines.
