Custody Operations Specialist
The Custody Operations Specialist reports to the Assistant Vice President, Custody Operations and is responsible for the accurate and timely processing of various daily corporate actions in our custody systems. The incumbent will promptly attend to security set-up and amendment requests from internal clients across jurisdictions, and accurately book, allocate and release trades in various systems of Custody Operations, strictly following the operations guard lines while meeting various deadlines for US and Non-US traded securities, and Mutual and Alternative investment funds. The Specialist is expected to maintain static data in the Bank’s internal systems and will oversee all aspects of security pricing, while also working with external pricing vendors, brokers and investment managers. This position will also be responsible for reconciling and investigating investment security related issues between the custodian, counterparties, internal clients and the Bank’s internal records.

Your responsibilities will include:
- Monitoring and validating the prices integrated into Bank’s Asset Management platform and updating missing prices and benchmark indices as required.
- Coordinating the set-up and maintenance of assets in the Securities master file within agreed timelines.
- Setting up new securities in internal systems by comparing the data with vendor-provided systems such as Bloomberg and ensuring that security setups are validated as per the standard setup policy.
- Identifying, investigating and resolving pricing discrepancies in accordance with set procedures.
- Processing mandatory and voluntary corporate actions accurately and timely, such as dividend payments, reorganization, proxy, bond redemption, etc.
- Actively monitoring and correctly interpreting notifications of complex corporate action events in the global market, as well as accurately processing various entries in eligible client accounts.
- Researching and promptly replying to inquiries from internal business partners, depositories, agents, brokers, clients, Investment Managers, sub-custodians and/or custodians.
- Facilitating the onboarding of new accounts with Custodians and coordinating new security registration.
- Working with the Legal and Compliance teams to ensure fund investing clients meet Fund and Custodian AML/KYC requirements.
- Reviewing and approving redemptions, subscriptions and wire payments in sub-custodian online portals and our internal Banking system.
- Reviewing and releasing trades in Portia Trader, BONY Workbench/NEXEN, BBH online portal and E2Gen.
- Liaising with brokers, depots, account administrators and custodians to ensure securities are settled on contractual settlement dates.
- Communicating and coordinating with the Cash Management team on a daily basis to ensure all trades settled are properly funded.
- Actively following up with the front offices, custodian and counterparty brokers to investigate trades failed to settle on contractual settlement dates, communicating and resolving any issues in a timely manner.
- Receiving and dispersing critical information from custodians, such as trading restrictions, to account administrators and portfolio managers on a timely basis.
- Actively following up on and resolving queries from account administrators and portfolio managers to ensure timely resolutions in accordance with time frames set out in the Bank’s SLAs.
- Ensuring that daily reconciliation and daily filings are complete and operations procedures are followed.
- Holistically pursuing opportunities for process improvement/automation and ensuring all required procedures are documented, updated and reviewed on a timely basis.
- Assisting with audit queries, and the development and maintenance of operations documentation.
Your qualifications and skills include:
- College or Bachelor’s degree in a related discipline or the equivalent combination of education and experience is required.
- Excellent knowledge of various investment security types is a must, including common stocks, fixed income securities, mutual funds and alternative investment funds.
- Excellent attention to detail.
- Two to three years’ of experience in the financial services industry, specializing in trade settlement, fund administration and corporate action.
- Excellent interpersonal, communication and organizational skills with the ability to manage multiple tasks and work effectively in a deadline-driven environment.
- Proficient in Microsoft Excel and Bloomberg is a must.
- Self-starter with a strong ability to work well under minimum supervision.
- Ability to prioritize and work well under pressure to meet deadlines.
